Hiring Range: $18.96 - 22.44 DOE

PRIMARY PURPOSE OF THE JOB: This position manages the daily office functions of the regional office that includes payroll support and assisting with the management of the campus personnel. This position also works as administrative support for the Regional Director and assists in administering company policies and procedures.   

ESSENTIAL DUTIES

  • Supervise opening and distribution of incoming mail to all regional employees. Supervise timely posting of outgoing mail, including UPS and/or other carrier shipments, utilizing efficient and cost effective means. Maintain adequate postage and maintain current postal permits.
  • Maintain inventory control procedures to ensure that purchases are kept within budget and that an inventory of supplies is kept up to date. Prepare inventory reports for National office and order supplies when necessary.
  • Establish and oversee retail store and maintain inventory records and merchandise.
  • Oversee and prepare deposits and purchase orders. Prepare daily deposits, code regional invoices and submit to the National Accounting office.
  • Maintain petty cash accounts: distribute petty cash and prepare monthly petty cash reports for reimbursements.
  • Oversee office equipment to ensure proper care and maintenance; review maintenance agreements and schedule necessary repairs, when necessary.
  • Work with National Office to ensure all machinery, equipment and vehicles are covered by adequate insurance; report any new equipment additions or deletions promptly.
  • Provide Human Resource support to regional office staff via the National Office that includes placing classified ads and assisting region with hiring and orientation process. . Understand company policy and procedures and assist with educating and training of regional office staff.   
  • Provide administrative support that includes preparation of letters, reports, scheduling of appointments, meetings and travel plans, database input and preparation of related reports and research and analysis.
  • Maintain office files; ensure files are up-to-date, accurate and confidential information is maintained in a secure location.
  • Other duties as assigned by supervisor or department.

REQUIRED ABILITIES:

  • Ability to perform several tasks concurrently, time management and organizational skills.
  • Ability to manage, network, train and motivate staff, volunteers and clientele.
  • Ability to organize and maintain detailed records, complete necessary paperwork and meet deadlines.
  • Excellent oral and written communication skills.  
  • Excellent computer skills: MS Office Suite(Outlook, MS Word and MS Excel); able to learn programs

REQUIRED EXPERIENCE: Previous supervisory, management and computer experience preferred.

REQUIRED EDUCATION:   High school graduate or equivalent.

REQUIRED LICENSES:       DMV.

WORKING CONDITIONS: Stationed at workstation for majority of job. Occasional overtime hours may be required.
